The Community Relations Manager (CRM) is ultimately responsible for bringing the Outside Community into Our Community, so people can understand who we are and what we do. We want to highlight and show off all the great things we have to offer and the outstanding services we deliver each-and-every day. The CRM will grow our lead base and turn prospects into residents.

Reporting to the General Manager and/or designate and supported by the Director of Sales and Marketing, the responsibility of the CRM is to build relationships, identify sales leads and engage decision makers to qualify potential residents through networking, event planning/hosting, and community outreach. The successful candidate will be a trusted advisor for those exploring seniors’ living options and have a proven track record of closing sales, along with a passion for working with seniors.

Responsibilities

Included but not limited to:

• Achieve occupancy targets by working with the GM and site leadership teams to establish, nurture and close client relationships. To accurately forecast client needs and behaviors.
• Arrange and host prospect tours
• Identify community events, sponsorships and other local opportunities for the community to participate.
• Utilize and maintain the community database on a daily basis. Computer skills are a must.
• Understand market trends, as well as competitor services and offerings from features, rates, incentives, special offerings, occupancies, etc., all to maintain a competitive edge.
• Working closely with the General Manager and the Director of Sales & Marketing to create the community marketing plan and annual budget.
• Distribute marketing collateral such as brochures, posters, etc. in targeted locations (i.e. health units, seniors’ centers, community centers, churches etc.).
• Work with other CRM’s to share insights and best practices, including monthly teleconference calls and quarterly meetings.
• Collaborate with the GM and other departmental managers at weekly meetings to ensure operational excellence. This will include training employees on customer service techniques and facilitating site tours.
• Meet and/or communicate daily with the General Managers and weekly with the Director, Sales & Marketing.
• Additional duties as directed by the site GM when required.

Responsibilities     Include but not limited to:

Financial Management

• Perform a variety of duties related to the financial management of the organization such as preparation of financial reports, coding all accounts payable invoices, monthly bank reconciliation, and collections of past due accounts.
• Set up Electronic Funds Transfer (EFT), discharge resident refunds, invoicing to third parties (i.e. MHR, DVA, Health Authorities, BC Housing) and annual resident income tax statements.
• Process deposits and complete daily bank runs (if applicable).
• Maintain the petty cash fund by performing duties such as maintaining records of transactions, requesting additional money as required and completing related reports.
• Participate in maintaining the Resident Trust Fund by performing duties such as receiving requests, recording transactions, maintaining ledger accounts, advising resident/families when additional funds are required and reconcile trust account monthly.
• Report monthly financial reconciliations to Head Office (if applicable).
• Process all payables related items to include supplier invoices, purchase orders and receiving reports (if applicable). Processing payables includes: attach payablesprocessing form to invoice ensuring correct coding and distribution of charges. GM toauthorize all invoices prior to submittal to Head Office.

Payroll Functions

• Calculate employee hours to be paid and enter into ADP system on a bi-weekly basis (if applicable).
• Complete Payroll Change forms for changes to employee data (i.e. wage rates, status, address, banking info, etc).
• Monitor employee status changes and update wage rates & benefits options as required.
• Maintain seniority lists (if applicable).
• Complete documents required by HRDC, Sunlife & WCB.
• Collect completed benefit forms, review information and forward to Payroll Dept.
• Answer employee’s payroll and benefit questions, refer to Payroll Dept. when necessary.
• Provide information and data as requested by the Payroll Dept.

Administration

• Produce a variety of confidential documents for the General Manager and management team members including correspondence, memos, reports, minutes, budget statementsand meeting agendas using a range of word processing and spreadsheet softwarepackages (if applicable).
• Design and maintain records, files and distribution systems for correspondence, reportsand minutes within the Administration area. Maintains resident records and storage of terminated records.
• Complete forms as needed for the Health Authority and Stats Canada.
• Performs a variety of duties related to the staffing for the facility including maintaining timekeeping records for staff for payroll purposes, as well as, maintaining related records such as staff names, addresses, phone numbers and  availability for work.
• Answers the telephone, greets and screens both callers and visitors, responds to requests by providing information directly or directing inquiries to appropriate individuals within theorganization (if applicable).
• Receive and process all incoming and outgoing mail and screens for appropriate distribution within the organization. Prioritizes items for immediate action (if applicable).
• Produce purchase order ensuring a copy of both the purchase order and the receiving report is attached to the invoice. Submit to Head Office A/P dept. on a weekly basis for processing. File all invoices and documentation once returned from A/P dept (if applicable).
• Maintain stock of office supplies and materials for organization through review of stock on hand, and completion and forwarding of purchase orders to suppliers, working within budget constraints. Receives and verifies supplies and investigates and resolves any discrepancies (if applicable).
• Supervision of Reception staff (if applicable).
• Management of Admit, Transfer and Discharge information on all residents in CMS on a timely basis.
• Maintenance of resident contact information in RMS.
• Performs RMS maintenance of residents accounts (admissions and discharges), and admission agreements.
• Run “Occupancy”, “Assessments Due”, and other CMS Reports as requested by the GM or DOC.
• Other CMS related duties as assigned by the GM, which may include adding the photo of each new resident.

Position Summary

Reporting to the General Manager and/or designate, the Administrative Coordinator may provide confidential administrative support to the General Manager and other members of the management team. Central responsibilities include Financial Management (may include trust account maintenance), Reception (either full time or coverage for breaks), and entering Admission, Discharge & Transfer data into the Resident Management System (RMS), and Care Management System (CMS). An ability to communicate effectively with staff, residents and their families is essential. This position may also require a good working knowledge of the facility Collective Agreement(s) to ensure Articles are adhered to, including: scheduling, leave of absences, seniority, vacancy postings, overtime, shift premiums and sick time allowance.

• Ensures recreational equipment and supplies are used, maintained and stored in a safe, clean, and efficient manner. Reports unsafe or faulty equipment to supervisor.
• Actively participates in C.Q.I. program, meetings, committees and educational in-services as required. Assists in the maintenance of statistical records.
• Assists with orientation of new residents/tenants.
• Provides guidance, assistance and support to volunteers. Assists in the evaluation of volunteers.
• Performs all other duties as required.

Position Summary

Reporting to General Manager or designate, develops and implements activities, events, and programs that meet the social, physical, intellectual, and emotional needs of the residents.

Responsibilities

Include but not limited to;

• Plans, implements, schedules, and evaluates regular indoor and outdoor activities and events that meet social, physical, intellectual, and emotional needs of the residents. Such activities include games, exercise, entertainment, and other related activities which encourage participation, maintain optimum resident involvement and contribute to a sense of community. Activities may be conducted by the Activity Coordinator or contracted out.
• Plans, coordinates, and is responsible to provide resident transportation services. Drives the bus to most outdoor activities but may schedule other means of transportation as directed by the Manager.
• Consult and coordinate events and activities with other departments to ensure enough resources to meet the needs of the schedules events. Resources may include food service, provision of equipment and furniture, or additional staff. Will ensure staff members are aware of upcoming events through written bulletins or memos.
• Involve residents in the planning of activities and events. Encourages residents to volunteer their special skills in order to enhance activity participation.
• Develop and maintain appropriate methods for communicating all programs, services, and events, including the site newsletter, bulletins, and meetings.
• Contribute to creating an environment which maintains happiness, self-respect, personal dignity, and physical safety of each resident.
• Manages and controls activity equipment, inventory and supplies. Budgets and controls the costs for activities each month and accounts for funds at the end of each month.
• Encourage community involvement and endeavor to bring community programs to the site. Promotes the site to outside organizations and ensures that the services of the site are recognized and understood.
• Provides personal care during recreational activities as required.
• Observes and reports any changes in residents to the supervisor and/or nurse.
• Documents as per policy and procedures.
• Ensures recreational equipment and supplies are used, maintained and stored in a safe, clean, and efficient manner. Reports unsafe or faulty equipment to supervisor.

Responsibilities

• Carries out all aspects of routine and rotation cleaning throughout the building and suites which includes but is not limited to the following,: cleaning and sanitizing surfaces, dusting, vacuuming and sweeping; cleaning appliances; washing floors, walls, interior windows and doors; changing bed & bath linen and remaking beds; removing curtains/window coverings for cleaning and re-hanging; garbage removal; terminal cleaning of rooms/suites.
• Removes all garbage & recycling from assigned areas and place in appropriate container for off-site disposal.
• Follows prescribed cleaning techniques, proper use and handling of chemicals, appropriate use of gloves and properly wash hands to prevent the spread of infection.
• Cares for equipment, supplies and work areas through the following: keeps equipment clean and safely stored; reports defective and damaged equipment and furnishings; keeps work area in an orderly, safe and clean condition; keeps inventory in order on individual carts; replenishes supplies throughout the building; understands the use and application of cleaning chemicals.
• Picks up tenant emergency call phone when Home Support Worker leaves the building.
• Responds to tenant calls on the emergency phone by going to the suite and addressing the concern. Calls 911 for ambulance or calls the family as per tenant request. Stays with the tenant as necessary until help arrives. Reports all calls in Log Book.
• Reports significant changes or uncommon resident/tenant behaviour or concerns to nursing staff/on call log.
• Participates in facility committees and quality improvement initiatives.
• Performs other related duties as assigned.

Reporting jointly to the General Manager and the Director of Sales and Marketing, the responsibility of the Community Relations Manager is to build traffic to the facilities and increase occupancy. A primary focus will be on touring prospects, networking and hosting marketing and sales events. Your proven track record in establishing and nurturing relationships in the community, closing sales and passion working with seniors will be key to your ongoing success.

Responsibilities

Include but not limited to:

• Achieve occupancy targets by working with the GM and site leadership teams to establish, nurture and close client relationships. You will accurately forecast client needs and behaviors.
• Identify community events, organizations and sponsorships the company should participate in and represent the Company in the community and build relationships within the region to increase our presence and drive traffic to our site. A large part of this process will be to facilitate tours at the site.
• Your experience using CRMs (data base) will enable you to qualify prospects, family influencers (family and friends of qualified prospects), community influencers (public and private health providers, seniors’ organization contacts, community services providers, financial services providers), and others (clergy associations, pharmacists, lawyers, bankers, trust companies, realtors, etc.). Computer skills are a must.
• Work with competitor properties to establish a rapport. Learn about competitors’ features, rates, incentives, special offers, occupancy and any other information that will assist our ability to maintain competitiveness. Research and integrate marketing information with sales leads. Competitive analysis will be completed throughout the year.
• Working closely with the General Manager and the Director of Sales and Marketing to produce a marketing plan and budget annually, to include all advertising, promotional activities, marketing collateral and incentives and community events.

Position Summary

Reporting to the General Manager or designate, the Assisted Living Manager is responsible for directing care staff and promoting departmental activities to maintain high quality care. Central responsibilities include ensuring the effective and efficient provision of care services. The Manager, Assisted Living will work with the nursing and care delivery staff to enhance their knowledge and skills in providing quality, efficient care.

Responsibilities

Include but not limited to:

• Identifies client needs and staff development opportunities and assists in the development of methods, policies, procedures, programs, services and work routines to enhance care delivery.
• Provides direction to professional and nonprofessional nursing staff as well as all interdisciplinary team members involved in the provision of “best practice” care services.
• Assesses and identifies the clients’ health care needs and ensures the proper maintenance of all patient and other records in accordance with policy and relevant legislation.
• Observes and monitors staff on all shifts as required. Evaluates and provides ongoing supervision of care staff on any shift with a focus on identifying recommendations and training requirements that would enhance and/or streamline care delivery.
• Oversee all aspects of the wait list management and admission process for new clients.
• Identifies learning needs of staff and provides in-service and orientation using various methods of teaching/learning techniques. Delivers direct care to specific clients when role modeling or teaching nursing skills.
• Provides resource information on Continuous Quality Improvement/Risk Management-by reviewing, and documenting data, analysis of trends, report writing and facilitation of group process to effect change. Maintains related reports and statistics. Monitors all resident care indicators through the Care Management software program
• Oversees selection, promotion, supervision, evaluation, disciplinary action and termination of all care staff.
• Maintains an appropriate level of supplies and equipment and identifies new equipment requirements as it relates to resident care.
• Ensures that all aspects of Collective Agreements / Employee Associations are abided by.
• Liaises with union representatives through Labour Management Meetings and other forums.
• Resolves Union grievances as they arise or works with Facility Staff Association to communicate effectively the Employment Standards guidelines and Retirement Concepts policies, thereby minimizing employee conflict and concerns.
• Assists the Controller to monitor fiscal control of all the facility operations.
• Participates in preparation and execution of an annual operating and capital budget.
• Maintains a safe environment for clients/family unit and staff, through 

1. accident prevention,
2. knowledge of emergency procedures and regulations,
3. using skills, physical facilities, supplies and equipment safely and appropriately, and
4. utilizing infection control procedures.

Position Summary

Reporting to the Support Services Manager and/or designate, the housekeeper performs general cleaning duties in the facility, including the cleaning of residents’ / tenants’ rooms/suites, bathrooms, staff rooms, offices, lounges, dining rooms, corridors, and other areas as designated. Responsible for evening janitorial duties and responding to tenant emergencies as required.

• Cares for equipment, supplies and work areas through the following: keeps equipment clean and safely stored; reports defective and damaged equipment and furnishings; keeps work area in an orderly, safe and clean condition; keeps inventory in order on individual carts; replenishes supplies throughout the building; understands the use and application of cleaning chemicals.
• Picks up tenant emergency call phone when Home Support Worker leaves the building.
• Responds to tenant calls on the emergency phone by going to the suite and addressing the concern. Calls 911 for ambulance or calls the family as per tenant request. Stays with the tenant as necessary until help arrives. Reports all calls in Log Book.
• Reports significant changes or uncommon resident/tenant behaviour or concerns to nursing staff/on call log.
• Participates in facility committees and quality improvement initiatives.
• Performs other related duties as assigned.

Position Summary

Reporting to the Recreation Manager and/or designate the Activity Aide assists in planning, implementing and evaluating activity programs to meet the physical, social, emotional, intellectual, spiritual, and cultural needs and interests of the residents/tenants.

Responsibilities

Include but not limited to;

• Carries out established recreation programs including, but not limited to, outings, exercises, crafts, social events, entertainment, games, etc.
• Assists residents to and from programs as required.
• Assists, encourages, and motivates residents/tenants to participate in social, spiritual, physical, mental and cultural recreational activities.
• Provides personal care during recreational activities as required.
• Observes and reports any changes in residents to the supervisor and/or nurse.
• Documents as per policy and procedures.
• Ensures residents’/tenants’ rights are maintained.
• Ensures recreational equipment and supplies are used, maintained and stored in a safe, clean, and efficient manner. Reports unsafe or faulty equipment to supervisor.
• Actively participates in C.Q.I. program, meetings, committees and educational in-services as required. Assists in the maintenance of statistical records.
• Assists with orientation of new residents/tenants.
• Provides guidance, assistance and support to volunteers. Assists in the evaluation of volunteers.
• Encourages residents/tenants as volunteers in their own community.
• Performs other related duties as required.

Position Summary

Reporting to General Manager or designate, develops and implements activities, events, and programs that meet the social, physical, intellectual, and emotional needs of the residents.

Responsibilities

Include but not limited to;

• Plans, implements, schedules, and evaluates regular indoor and outdoor activities and events that meet social, physical, intellectual, and emotional needs of the residents. Such activities include games, exercise, entertainment, and other related activities which encourage participation, maintain optimum resident involvement and contribute to a sense of community. Activities may be conducted by the Activity Coordinator or contracted out.
• Plans, coordinates, and is responsible to provide resident transportation services. Drives the bus to most outdoor activities but may schedule other means of transportation as directed by the Manager.
• Consult and coordinate events and activities with other departments to ensure enough resources to meet the needs of the schedules events. Resources may include food service, provision of equipment and furniture, or additional staff. Will ensure staff members are aware of upcoming events through written bulletins or memos.
• Involve residents in the planning of activities and events. Encourages residents to volunteer their special skills in order to enhance activity participation.
• Develop and maintain appropriate methods for communicating all programs, services, and events, including the site newsletter, bulletins, and meetings.
• Contribute to creating an environment which maintains happiness, self-respect, personal dignity, and physical safety of each resident.
• Manages and controls activity equipment, inventory and supplies. Budgets and controls the costs for activities each month and accounts for funds at the end of each month.
• Encourage community involvement and endeavor to bring community programs to the site. Promotes the site to outside organizations and ensures that the services of the site are recognized and understood.
• Provides personal care during recreational activities as required.

Responsibilities

Include but not limited to;

Financial Management

1. Perform a variety of duties related to the financial management of the organization such as preparation of financial reports, coding all accounts payable invoices, monthly bank reconciliation, and collections of past due accounts.
2. Set up Electronic Funds Transfer (EFT), discharge resident refunds, invoicing to third parties (i.e. MHR, DVA, Health Authorities, Alberta Housing) and annual resident income tax statements.
3. Process deposits and complete daily bank runs (if applicable).
4. Maintain the petty cash fund by performing duties such as maintaining records of transactions, requesting additional money as required and completing related reports.
5. Participate in maintaining the Resident Trust Fund by performing duties such as receiving requests, recording transactions, maintaining ledger accounts, advising resident/families when additional funds are required, and reconcile trust account monthly.
6. Report monthly financial reconciliations to Head Office (if applicable).
7. Process all payables related items to include supplier invoices, purchase orders and receiving reports (if applicable). Processing payables includes: attach payables processing form to invoice ensuring correct coding and distribution of charges. GM to authorize all invoices prior to submittal to Head Office.
8. Oversees the accounts receivable items pertaining to the facility and/or tenants (i.e.prepares letters to tenants for outstanding accounts follow-up)

Administration

1. Produce a variety of confidential documents for the General Manager and management team members including correspondence, memos, reports, minutes, budget statements and meeting agendas using a range of word processing and spreadsheet software packages (if applicable).
2. Design and maintain records, files and distribution systems for correspondence, reports and minutes within the Administration area. Maintains resident records and storage of terminated records (if applicable).
3. Complete forms as needed for the Health Authority and Stats Canada (if applicable).
4. Maintain emergency fan out list with updated staff telephone numbers. (if applicable)
5. Answers the telephone, greets and screens both callers and visitors, responds to requests by providing information directly or directing inquiries to appropriate individuals within the organization (if applicable).
6. Receive and process all incoming and outgoing mail and screens for appropriate distribution within the organization. Prioritizes items for immediate action (if applicable).
7. Produce purchase order ensuring a copy of both the purchase order and the receiving report is attached to the invoice. Submit to Head Office A/P dept. on a weekly basis for processing. File all invoices and documentation once returned from A/P dept (if applicable).
8. Maintain stock of office supplies and materials for organization through review of stock on hand, and completion and forwarding of purchase orders to suppliers, working within budget constraints. Receives and verifies supplies and investigates and resolves any discrepancies (if applicable).
9. Supervision of Reception staff (if applicable).
10. Management of Admit, Transfer and Discharge information on all residents in CMS on a timely basis.
11. Maintenance of resident contact information in RMS.
12. Performs RMS maintenance of residents accounts (admissions and discharges), and admission agreements.
13. Run “Occupancy”, “Assessments Due”, and other CMS Reports as requested by the GM or DOC (if applicable).
14. Maintains strict confidentiality with respect to financial data and resident/tenant information.
15. Other duties as assigned.
